Qualtrics: Reassigning Ownership of a Survey

The Qualtrics Research Suite has Collaboration features that allow users to share a survey and/or its results with other users.  In fact, you can even share with other people who use Qualtrics who are not members of the UNH community.  For more details on the Collaboration features, see http://www.qualtrics.com/university/researchsuite/basic-building/getting-started/collaboration/.

In a case where one would want to transfer ownership of a Qualtrics survey to someone else (user leaving the University), it is possible, but it is not something that the user can do on their own.

The best scenario is where the current owner of the survey can make the request before leaving their current role.  In this case, the owner of the survey should contact the UNH IT Service Desk at 603-862-4242 and request that the ownership of the survey or surveys be transferred to another user.  The request should include:

  • Exact name of each survey to transfer
  • Full name of the new owner
  • UNH account username of the new owner

In a situation where the survey owner is no longer at UNH, access to data owned by that person can only be transferred to another individual if you submit a formal request that documents the need and that request receives proper approvals.

A request to access personal protected information can be made online via the IT Accounts Management System. Login to AMS and use the "Request To Access Password/Confidential Information" link under Links and Instructions. For any questions regarding the form or process contact the IT Service Desk at 603-862-4242.  This request should provide the following details:

  • Exact name of each survey to transfer
  • Full name of the new owner
  • UNH account username of the new owner
  • Reason that the original owner is no longer available to make the request
  • Justification why the surveys and responses are needed

In both cases, once the request has been reviewed and received any needed approval, the ownership will be reassigned, and those involved will be notified by e-mail.
