Task: This article walks you through how to schedule a Zoom Meeting from Zoom and from Outlook.
Instructions:
There are four ways to schedule a Zoom Meeting:
- From your institutions Zoom page (myPlymouth, zoom.unh.edu)
- From Web-based Outlook
- From within Outlook on Desktop
- From the Zoom Desktop Application (Windows)
From Zoom in Browser URL Field
- Log into Canvas
- Find Zoom in the menu options to the left.
- If canvas is not listed in the menu, see this knowledge base article: Canvas: Managing the Course Menu
- Click on Schedule New Meeting
- in Topic. Make this title as descriptive as possible such as "titleEnter your Mon. and Wed 12-1:30 pm."
- Select when to start the meeting and how long in the When and Duration fields
- Make sure you are in the correct Time Zone
- If the meeting is recurring, click the check box in front of Recurring Meeting
- Select how often you want to hold the meeting. Best Practice is to select No Fixed Time, you will not be able to have this automatically update your calendar but the positive is you have one entry on your personal page that you can start any time
- Do not select registration. If you want to take attendance, use Chat. Click here for instructions to use Chat or Zoom: Meeting Attendance
- Set the remainder of the options as you would like.
- Click Save
- Click the Meeting button again to see your scheduled meeting(s)
If your meeting is a webinar or you have questions about large groups, complete the Zoom Large Meeting Reservation Form
To Schedule a Meeting from the Zoom Desktop Application (Windows)
- Download and install the Zoom Client if it is not installed
- Launch the application by typing Start Zoom in the Windows Search box (lower left corner)
- Click the Schedule button
- Select your meeting preferences
- If you want a recurring meeting, click the Recurring Meeting box
- In the Calendar section, select Outlook
- Review the Advanced Options by clicking the down arrow icon to expand the options. Select the options you want.
- Click Schedule. Outlook should open a new event window with the Zoom meeting details filled in. You may receive a pop-up window asking for you to log into MS Outlook that you can exit out.
- Add your participants to the To... field
- If this is a recurring meeting, click Recurrence up top in the options section and select the recurrence pattern and range
To Schedule a Zoom Meeting Directly from Your Web-based Outlook
- If you are not already logged in, log in to myPlymouth and your calendar within myPlymouth
- Double-click on the date you want to schedule a Zoom meeting
- Fill in the title, time, invitees, recurrence if any, and any other options you want to set
- Before clicking Send, click the Zoom icon to the far right of the Send button
- You will receive a drop-down window where you can click Add a Zoom Meeting
- You may receive a pop-up window asking if you want to display a new window, click Allow
- Another pop-up window will display the Sign in with SSO
- Enter in your institution's domain. (i.e. plymouthstate)
- Click Continue button
- This window will display briefly and close by itself. If it does not close, follow the directions on the window
- You will be brought back to your calendar entry and the Zoom meeting link will be inserted into the location field for the meeting and the area for a message will contain the Zoom meeting invitation
If your meeting is a webinar or you have questions about large groups, complete the Zoom Large Meeting Reservation Form
To Schedule a Meeting Directly within Outlook on Desktop
- Select your meeting preferences
- Review the Advanced Options by clicking the down arrow icon to expand the options. Select the options you want.
- Click Continue
- Add your participants to the "To..." field
- If this is a recurring meeting, click Recurrence up top in the options section and select the appointment time, recurrence pattern, and range
- Click OK
- If it is a non-recurring meeting, set up the Start time and End time for the meeting/appointment
- Click Send
If your meeting is a webinar or you have questions about large groups, complete the Zoom Large Meeting Reservation Form
Outcome:
Users should be able to schedule a Zoom Meeting from Zoom and from Outlook.
