This article provides instructions for submitting a request to add a newly discovered asset/ device to the Hardware Asset application in TeamDynamix.

In order to perform this function, you will need to be assigned the Team Member role or higher in the TDx Hardware Asset application. If you have not already been assigned these permissions, please reach out to the Asset Management team to request this role.

 

How-To

Task: Submitting a request to add a newly discovered asset/ device to the Asset Management inventory in TeamDynamix

Instructions

Step 1 - Navigate to the Hardware Asset Inventory Request Form and click the ‘Request Service’ button:

Step 2 - Fill out the Requestor information at the top of the form so that the Asset Management team can follow up with any questions and confirm when your request has been completed:

  • Your (Requestor) Name
  • Institution
  • Role
  • Secondary contact person, if applicable
  • Email
  • Phone number
  • Request title/ summary

 

Step 3 - From the ‘Request Type’ menu, choose ‘Add a Newly Discovered Device’:

Step 4 - Enter all of the available information for the asset (and any other relevant details) to the 'Request Details' box, including:

  • Name
  • Service Tag
    • OF NOTE: Serial number in TDx is the serial number or Service Tag (for Dell machines) of the device, while Service Tag refers to the Asset Tag number or serial that has been written to the BIOS.
  • Serial Number
  • Request Details: Provide any information you have regarding when and where it was found, purchase information etc.
  • Ownership model: (Institutional, Grant or Lease)
  • Is this a loaner?: Not a loaner, Event Loaner, Short-term or Long-term loaner
  • Current Device Status
  • Platform: Windows, Linux, Apple, Other
  • Product model: Model type of the device
  • Location: Physical location of the asset; use 'Off campus' if the user is remote
  • Requesting Acct/ Dept: The department that is using the device (typically the same as the owner, but can differ in certain use cases such as loaner devices)
  • Requestor: The person the device is being assigned to (typically the same as the Owner but can differ in certain use cases such as loaner devices, grad students, etc)
  • Owning Acct/ Dept: The purchasing department
  • Owner: The Owner of the asset is the contact responsible for the device
  • Device's Home Institute
  • College, Budget Area, or Facility: The group or unit the device belongs to (ie, Academic, Central, Facilities, etc); this is the field we use for reporting so it is the most important field for area assignment for assets
  • Supplier: Company the device was purchased from, if known
  • Barcode label: For areas with historical barcoding, the ID of the additional barcode
  • Parent Asset: Only applicable if asset is a peripheral/ tied to other assets in a bundle set up

 

Step 6 - If possible, take a photo of the Serial number and Service (Asset) Tag stickers and upload it to the “Attachment” field at the bottom of the request form:

Step 7 - Submit the form by clicking the 'Request' button at the bottom of the page.

 

Outcome

You have successfully requested to add a new hardware asset to our inventory in TeamDynamix.
