Outlook: External Recipient Warning

Summary

As you prepare to send an email message in Outlook, you may see a warning that "The following recipient is outside your organization".

This warning helps to prevent accidental sharing of sensitive information and encourages a quick review of your message and recipient email address(es) before hitting Send. In August 2024, ET&S enabled the External Recipient MailTip feature in Outlook for enhanced security and visibility of external mail recipients.

In August 2024, ET&S enabled the External Recipient MailTip feature in Outlook for enhanced security and visibility of external mail recipients.  This article explains what you may see with this MailTip feature enabled when sending email to recipients external to USNH.

As you prepare to send an email message in Outlook, you may see a warning that "The following recipient is outside your organization: ". This is the External Recipient MailTip feature in Outlook which is designed to keep your communications secure.

The External Recipient MailTip alerts you when you’re about to send an email to someone outside the University System of New Hampshire (USNH). This handy tool helps to prevent accidental sharing of sensitive information and encourages a quick review of your message and recipient email address(es) before hitting Send.

Example

Suppose you get an email that appears to be from the Dean of your College asking you to reply and send some personal information about a student.  You hit Reply in Outlook and notice this warning at the top of the message. 

You then look more closely and see that the To: address is not your Dean's real email address, but is really somebody pretending to be the Dean.  As a result, you delete your draft and instead report the false email you received.
