There are a number of predefined subscriber lists contained within the SFMC database.  Access to these lists are specific to the permissions given to each business unit or department as well to the user.  In many cases the user may want to ensure they select the correct list, so they prefer to access and view the list prior to selecting the audience.

NOTE:  Users can only view the first 200 items contained within a list.  UNH IT is working on functionality to export the lists so that all lines will be able to be seen.

 

Task: To preview the names contained in existing lists.

 

Instructions:

Step 1 - Once logged into SFMC navigate to:  Email Studio -> Email -> Subscribers -> Shared Data Extensions

Step 2 - Using the folder structure on the left of the page, navigate through the folders to find the list needed.

Step 3 - The system will provide basic information such as 'Is it available', number of records contained within, Status of the list.

Step 4 - Click on a list to open it.

Step 5 - Once the list opens, select the Records Tab this will allow the user to view the first 200 lines of the list.

a.  If the user would like to review the entire list, they can select the export icon in the upper left of the list.

b. Export Data Extension dialog, ensure the Delivery location is set to Browser Download then choose Export.  This will prompt the system to open the .CSV file in Excel on your computer for immediate review.

 

Outcome:

You can preview the names contained in existing lists now.
