Answers

A1 - Who is our printing vendor?

The USNH printing vendor is Xerox who acquired Conway Office Solutions. Xerox provides multi-function printer/copier/scanner devices (MFPs or MFDs) across all USNH campuses. Each provided MFP has a sticker on it with the MFP's unique Support ID number and support contact information.

We use the Papercut system to direct content to specific MFPs, to adjust certain print settings, to control when content prints out on the MFP, and to manage any required billing.

A2 - How can I print with PaperCut?

PaperCut allows you to use black/white and color “Follow-Me” queues.  Once these printers are setup on your computer or mobile device, then you simply choose to print to one of these.  Your print job waits in “queue” for you to release it later that day from any PaperCut-enabled printer on campus.  Jobs are held in queue for 24 hours before being deleted.

A3 - What if the printer default settings are not a good fit for our business needs?

If your business needs are not satisfied by the standard printer configurations, or if you need to specify configurations for a new USNH-managed printer, please use the Printing Service request form.

A4 - What do I do if I cannot print from my university device (computer/laptop/tablet)?

If the printer appears to be functioning normally but you cannot print from your university-issued device, please submit a support ticket explaining what you have tried and what the problem is. Be sure to include the printer’s Support ID# from the sticker on the MFD, what kind of computer you have (Windows or MacOS), as well as the location where you were trying to print from. Use the “Request Service” button on the Printing Service page.

A5 - How do I request supplies for our MFD?

Xerox will remotely monitor the status of non-paper supplies (such as toner and drums) and automatically drop-ship them to your location when needed.  The only supply you need to monitor and order is paper (see next question) and staples (if applicable).

If you do need to request supplies, you can do so by sending email to cop-supplyteam@xerox.com with the printer’s Support ID# from the sticker on the MFD.

A6 - How do I order more paper?

Paper should be ordered through our contracted vendors in UShop, such as W. B. Mason, using your usual UShop ordering process.

A7 - How do I recycle used toner cartridges? 

When you install a new toner cartridge, place the used toner cartridge back in the box the new cartridge came from.  Mark the toner box "USED - Please recycle".  

  • KSC:  Bring the labelled "USED - Please recycle" toner cartridge box to the KSC Help Desk in Elliot 243 during business hours for recycling.
     
  • PSU and UNH Durham:  Place the labelled "USED - Please recycle" toner cartridge box in your campus mail pickup area.  Campus Mail Services collects the used toner cartridges for recycling via Mail Services. 
     
  • UNH Manchester, UNH Law, and USNH System Office:  Place the labelled "USED - Please recycle" toner cartridge box in your campus mail pickup area, addressed to UNH Durham Mail Services. Durham Campus Mail Services collects the used toner cartridges for recycling. 

Department Self-Service:  You can also recycle toner cartridges directly with Xerox. Go to Xerox's Cartridge Collection Program  page. Look for the "Eco Box Returns" tab then choose "Order Boxes" and follow the on-screen instructions.  You will receive large Eco Boxes with pre-paid return labels.  Place the "USED - Please recycle" toner cartridge box in your Eco Box.  Once the Eco Box is full, you can ship it back via UPS at no charge.

A8 - What can I do if the printer is malfunctioning?

If the MFP is malfunctioning, phone the Xerox Help Desk at 800-343-7777 with the Printer’s Support ID# from the sticker on the device. Alternatively, send an email to cop-coastal-dispatch@xerox.com explaining the problem.  Be sure to include the printer’s Support ID# from the sticker on the MFD (blurred in image below).

A9 - What if we need to move our departmental printer?

If you are moving office locations and need to relocate your networked multi-function printer/copier/scanner device (MFP or MFD), please submit a Printing Service ticket PRIOR to moving the printer so we can assist. Allow at least a three-week lead time so that the network infrastructure can also be relocated if necessary. New locations must have an active data connection available prior to the move.

  • Departmental MFDs are on a unique network and must be reconfigured before being moved to ensure they will function correctly in the new location.
  • You cannot just move the device and expect it to work.  
  • Beginning in August 2026, Xerox will bill departments a $300 moving fee for each MFD that is moved between floors or buildings.
