General AI Chatbot Guidelines
What chatbots or AI assistants can I use at USNH?
Microsoft Copilot Chat with Enterprise Data Protection (EDP) and DeepThought are USNH’s only approved generative AI platforms. Both are robust tools capable of everything from routine productivity tasks and analysis to use in classrooms, coding and research applications. When properly logged in, both are allowed for use with up to Tier III data.

Can I use other AI tools?
Using free versions of Copilot or other AI platforms without an enterprise agreement often means:
- Your prompts and uploaded files may be stored, analyzed and used to train the provider's models
- You may lose control over your data once it's submitted
- There are few guarantees about privacy, data residency (where data is physically stored), or regulatory compliance

Using Microsoft Copilot Chat
How do I access Copilot Chat?
You can access Microsoft Copilot Chat from Outlook, Teams and other Microsoft 365 applications.
You can also sign in directly at https://m365.cloud.microsoft/chat using your USNH account.
Do I need to sign in?
When signed in, Copilot leverages Enterprise Data Protection (EDP) to safeguard your prompts, uploaded files, and responses. Your data is encrypted, protected under Microsoft's business data commitments, and will never be used to train Microsoft AI models.
Copilot with EDP is approved for use with up to Tier III data.

How can I tell if I'm signed in?
You'll know you're logged in when you see the green shield icon with a check mark in the upper-right corner of your Copilot window.
When logging in through a web browser, be sure to select the "Microsoft" log-in option to sign in with your USNH credentials.
When should I use Copilot Chat?
Copilot may be used for a variety of everyday productivity tasks, such as:
- Summarizing information
- Reviewing and editing text
- Analyzing approved data and files
- Drafting emails, reports and other documents
- Creating or analyzing images
What types of files can I upload?
Copilot can analyze common file types, including text documents, spreadsheets, PDFs and images.
When signed in and using Copilot with EDP enabled, you may analyze up to Tier III data, including source code, research data, course materials and FERPA data that fall within the scope of university work.
Keep in mind:
- Uploaded files may be copied to your personal OneDrive
- If using Copilot with web search in a browser window, be sure to log in to avoid sharing data publicly.

Can I upload personally identifiable information (PII)?
If you are signed in with your USNH credentials and EDP enabled, Copilot is approved for use with up to Tier III data, which includes some PII. This does NOT include protected health information, or HIPAA data.
What's the difference between the standard Copilot Chat and the M365 Copilot subscription?
Copilot Chat with EDP is available at no cost to USNH users and includes:
- Secure AI chat with web search
- Text editing and review
- Document and report creation
- File analysis
M365 Copilot costs approximately $225 per user annually and includes all of the above, plus:
- Integration with Word, Excel, PowerPoint, Outlook, Teams and OneNote
- The ability to ask questions about email, meetings, calendars, Teams chats and files stored in SharePoint or OneDrive
- Meeting summaries and recaps
- AI-assisted document and email creation
Why am I getting incorrect or unexpected results?
AI tools can make mistakes. Some common issues include:
- An unclear prompt
- Missing context
- Outdated or incomplete information in web search results or files uploaded
AI may make assumptions or fill in gaps in these cases. To improve results, try:
- Being specific about the results you want
- Providing additional context or examples
- Reviewing the search results or data submitted for accuracy
Can I sign up for other AI tools with my USNH credentials?
No, do not register with other AI platforms using your USNH username or email.
Using USNH DeepThought
How do I access DeepThought?
You may find custom DeepThought chatbots across USNH, including on university websites and in custom classroom and research applications.
As a faculty and staff member at USNH, you may use DeepThought as a personal AI assistant by logging in with your USNH credentials at: https://deepthought.usnh.edu
Do I need to sign in?
When using Deepthought as a personal assistant, you may briefly see a prompt to log in via Single Sign-On (SSO) before being automatically directed to the DeepThought interface.
How can I tell if I'm signed in?
You'll know you're logged in when you see DeepThought's "How can I help?" prompt in teh center of the screen and your name in the lower left corner.
When should I use DeepThought?
DeepThought offers a highly customizable and secure AI platform hosted directly on the USNH network. It is capable of processing sensitive data up to Tier III, including FERPA and IP data. This makes it ideal for uses including:
- Research tasks, with or without web search
- Drafting emails, reports and other documents
- Data summarization and analysis
- Coding and technical assistance, including writing or debugging code
- Generating scripts or automation tools
- Customized classroom or team uses
What types of files can I upload?
You can upload most common file types for analysis, including text documents, spreadsheets, PDFs and images. DeepThought's local large language models (LLMs) and Claude-based implementations are approved for up to Tier III data, including:
- FERPA-protected information
- Library records
- Research information protected by contract

What LLMs are available?
