UNH Outreach: Salesforce Set for Merge Process

Summary

This article explains how to Deduplicate Live Sets for the Merge process. The Deduplicate Live feature allows users to review potential duplicate records, select which field values should be retained, and mark records for merge. If records are not already identified as duplicates, they must first be flagged manually using the "Mark as Duplicate" field before completing the merge setup.

 

How-To

Identify duplicate Account or Contact records using the Deduplicate Live section and prepare them for merging into a single master record.

 

Task 1: Deduplicate Live Set for Merge process

Instructions

Step 1 – Navigate to your desired object (Account or Contact)

Step 2 – If there is a record populated in the Deduplicate Live Section that is a duplicate, click the merge button in the bottom right corner of the section. If records are not already identified as duplicates, they must first be flagged manually using the process outlined in Task 2: Flag Records as Duplicates and Set for Merge process below.

Step 3 – Select desired fields that will be in the master record 

Merge Preview.

 

Step 4 – Click Set for Merge 

 

Outcome

After completing this process:

  • Duplicate records are grouped together for merging.
  • The correct master record is identified.
  • Selected field values are retained on the master record.
  • The records are successfully set for the merge process.

 

Task 2: Flag Records as Duplicates and Set for Merge process 

Instructions

Step 1 – Navigate to your desired object (Account or Contact)

Step 2 – Locate the master record and the field's 18 Digit Salesforce ID in the Merge Section 

Step 3 – Insert the ID from the master record into Mark as Duplicate (Insert ID) 

Deduplicate Merge Section.

 

Step 4 – Insert the same ID into the other duplicate record 

Step 5 - Complete the process outlined in Steps 2-4 of Task 1: Deduplicate Live Set for Merge process above.

 

Outcome

You have manually marked duplicate records, ready to continue with Task 1 above.

 

Troubleshooting

If duplicate records do not appear in the Deduplicate Live section after being flagged, verify that the correct 18 Digit Salesforce ID was entered on all duplicate records. If the issue persists, contact your Salesforce Administrator or your organization's support team for assistance.
