This article includes instructions on how to publish a data source to the USNH Tableau Server. Published data sources can serve many different visualizations and developers. Publishing a single data source for multiple uses cuts down on data prep time and allows for automated updates. How-To

Task: To publish a data source to the Tableau Server.

 

Instructions

Step 1 - Select Server > Publish Data Source. If your workbook is connected to multiple data sources, select the one you want from the sub-menu.

Step 2 - If you’re not already signed in to Tableau Server sign in now. 

In the Tableau Server Sign In box, enter the information below, then click Sign In:
Server: https://tableau.unh.edu
User name: Your AD user name
Password: Your AD password

Step 3 - In the Publish Data Source dialog box, do the following:

a. Select the project you want to publish to and enter the data source name. (For regularly used data sources, choose the Production Data Sources project.)
b. Add a description and tags that will help you and other users find it. (Suggested descriptive information and tags include Webi report numbers, date runs, subject area (finance, HR, Student) and data steward contact name.) Separate tags using either a comma or a space. To add a tag that contains a space, put it in quotation marks (e.g., "Sales Quotes").
c. (Optional for Extracts only) Set up a refresh schedule on the server for your extract. Choose an option form the drop down schedule that best fits your needs. If the source file is a scheduled WebI report, the schedule should closely match the WebI Schedule.
d. For Permissions, accept the default project settings.
e. For Authentication, provide credentials to access your data, select embedded password so that Tableau can access your file.

Step 4 - By default, during the publishing process, Tableau updates the workbook connection to use the new published data source. It also closes the local data source. To continue using the local data source instead, clear the Update workbook to use the published data source check box.

Step 5 - Click Publish.

Managing your extract from Tableau Server

Note: If an extract fails, (failure notices are delivered by email) you can manually refresh the extract by selecting run now from the actions menu under refresh schedules tab. To see a list of data sources browse to: https://tableau.unh.edu/#/datasources

Outcome

Users should be able to publish a Tableau data source with the correct information and permissions.
