This article will cover the process of sending an Email or Text communication to your advisees through the Navigation application. 

This function is not to be used to message the entire student body with a Directed Communication!  Doing so may result in losing your access to the application.

 

How-To

Sending an Email Message

Task: To send an email message to students with Navigate.

Instructions

Navigate provided the ability for advisors and students to communication directly through the system. This is accomplished using the Conversations.

Step 1 - From the advisor home page select student(s) using the check box to the left of their name

  • if the advisor wants to message all their students, select the "All" check box at the top of the column.
  • the same process holds true to send a message to a Student List.  Access the student list and use the action menu to "send message"

Step 2 - Using the Actions menu, select Send Message

Step 3 - Provide a Subject

Step 4 - Enter a message in the message dialog box

Step 5 - Attach a file if needed

Step 6 - Choose Send Message at the bottom right

Outcome

You should be able to send an email message to directly communicate with students.

Sending a Text Message

Task: To send a text message to students with Navigate.

Instructions

Step 1 - From the Send Message dialog, use the toggle buttons at the top to select Text

Step 2 - Type in your message Under 320 characters

Outcome

You should be able to send a text message to directly communicate with students.

To access past messages/conversations where Navigate was used

Step 1 - Click on the Envelope Icon on the left side of the screen for Conversations

Step 2 - Use the check box filters at the top of the screen to find the conversations needed

Sample communication steps to students

Step 1 - Go to Navigate and log in

Step 2 - From student home page, select "Schedule an Appointment"

Step 3 - Select College or Major Specific Advising or Other Support and Advising from What type of appointment would you like to schedule?

Step 4 - Choose Service: Meet with My advisor, or Meet with another advisor

Step 5 - Pick a date

Step 6 - Click Find Available Time

NOTE:  The red text above should be customized by the user to ensure the options are correct for your specific college or center

Email Capture

Email Capture will log email messages sent from Navigate360 to students. When a student replies to the email sent from Navigate360 from the (staff, faculty, advisor), this will be captured in the conversation history in the Navigate360 Platform. Enabling Email Capture allows Navigate360 to save a record of initial messages as well as when a student replies to that email from the Navigate360 platform.

Email Capture WILL:

  • Allow for emails sent from the Navigate360 platform from faculty, staff, advisors to a student to be saved in the student’s conversation tab in the Navigate360 platform
  • Allow for an email sent by the student ONLY in response to faculty, staff, advisor Navigate360-initiated email, to be captured in the student conversation tab in the Navigate360 platform

Email Capture WILL NOT:

  • Allow students to email staff, faculty, advisors from Navigate360 directly
  • Capture any messages or emails OUTSIDE of the Navigate360 platform to be saved or recorded in the Navigtate360 platform
