Reservation Import Process into EMS

EMS Desktop Client Admins only - Bulk Import of Reservations

The process below outlines how to bulk import reservations. This process may be used periodically by the Registrar's Office to import exams events from Banner or by other groups when initially starting in EMS and transferring reservations from other systems. The following instructions were prepared in order to upload Common Exam times by the Registrar's Office. The could be adapted for future use with other groups during onboarding. 

Reservation Import Process  - Common Exams

  1. From Banner Export  - made into excel tracker file here for Fall 2020 : (project specific link removed)
  2. Recommendation. Sort the data in excel so Building-Rooms group together. Especially if uploading in batches. To make the mapping step easier in EMS.
  3. From tracker tab in excel file – copy data from column B (Date) through column H (group) and paste into Notepad. Do not include column headers.
  4. Save notepad file as txt file
    • The above 2 steps result in a tab delimited file
  5. In EMS. Go to System Administration >> Tools >> Import Reservation Utility
  6. Click New;  a pop up window will appear
    • Enter a unique Description (session name)
    • Complete the remaining boxes and drop down as shown below
    • Click OK
  7. Select the Import Session you just created. Click Load
  8. Navigate to the file you want to upload.
    • Do NOT check Skip Notifications (this way if something gets Academic Bump you will see it in the dashboard)
    • Click Next
  9. Now, You need to map each building/room from Banner to building/room in EMS.
    • Select a line and click Assign
    • Use the Room Selector tool. Select your EMS building, then your EMS room.
    • Repeat for each Building/Room listed for your import
    • Click Next
  10. If needed, map the Group in the same way  -> EMS seems to be auto mapping Enrollment Management
  11. Click Finish
  12. You can QA your upload by checking the book.
