ATST: Telephone - How to use

This article will outline the steps to use the telephone including making, receiving, transferring calls.

When answering the phone please let the caller know they have reached Teaching and Learning Technologies and give your name. Once there is a caller on the line you will see options for hold, transfer, etc. when they identify the reason for their call, ask their name and follow instructions below.

Transfer

To transfer a call: press  TRANSFER   dial the 5-digit extension for campus #, please stay on the line and let the person know who’s calling.   If they don’t answer by third ring, press  COMPLETE caller will be able to leave a message in their voicemail.

 

Hold

 

If a second call rings you can place the first one on HOLD then press the green flashing light to answer the new call. Press RESUME to return to call one.

When you are working at the front desk and the phone on the other side rings (Holly’s desk), please answer it, instructions are below.

Pick up the handset, press the down arrow (see diagram),  Four arrow buttons with ok button and press the green flashing light.                                                                        

We sometimes receive phishing calls. If the person they ask for is not on our list you can transfer them to the University Operator 2-1234. If they are calling to inquire about servers or copiers, you can offer to take a message, but we don’t give information out about them over the phone.

If the alarm on the door in the elevator room is ringing it means someone has used the emergency exit. There are 3 keys on the ring in Holly’s top drawer. Insert the key with no label into the alarm door and turn to shut off the alarm. (Remember you’ll need to enter door code 5002* to access keyhole to turn off).

If the alarm box in the foyer near the back doors is ringing or beeping, read the error message and call facilities to let them know what it says. 2-1437. Sometimes it just beeps once, or rings for a couple seconds. If it continues, you’ll need to make the call to facilities.
