Accounts: Access for Adjunct and Emeritus Faculty

In most cases, anyone receiving a USNH paycheck has an EMPLOYEE role based on their primary campus. This role provides access to common USNH services and tools, including email, Microsoft 365, VPN, and Workday.

 

Adjunct Faculty and Adjunct Staff Period Activity Pay (PAP)

Workday uses Period Activity Pay (PAP) to manage Adjunct Faculty access to software and applications. During a paid work period, employees have full access. Outside of a paid work period, employees remain active in the HR system but have more limited access.

  • When an adjunct employee with PAP is in a current paid work period, they are assigned a fully provisioned employee role with access to the full Microsoft 365 suite through an A5 license.

  • When an adjunct employee is not in a current paid work period, or when a future paid work period has not yet been entered into Workday, the employee role changes to an “off contract” role. In this state, the Microsoft 365 license shifts to A1 cloud-only access.

  • Period Activity Pay replaces grace periods for adjunct faculty and staff. When an adjunct faculty or staff member is fully terminated in Workday, their access ends.

 

Emeritus Employees

Some retired employees, usually faculty, may be granted EMERITUS status. This active role allows them to keep access to many of the same USNH accounts they had as employees. Emeritus employees can use Microsoft 365 through USNH with an A1 cloud-only license. They do not retain access to other USNH-licensed software, such as Adobe Express, Qualtrics, or other academic software titles.  The Emeritus role is an honor granted by HR to certain retired employees. It is not automatic for most retirees.

 

Changes with the Microsoft A1 cloud-only license

When your Microsoft 365 access changes to the A1 cloud-only license, M365 desktop apps stop working and the 100 GB storage quota becomes strictly enforced. 

  • Your files will be accessible through the OneDrive web portal even when the desktop apps stop working. You can create, edit, save, and share files on the web, as long as your files are under the 100 GB quota. 

  • If your files are using more than 100 GB space, you will not be able to add or modify any content until you move or delete items to get under the 100 GB quota.  This means you cannot save new Word or Excel docs or edit existing docs until the files are under quota again.

  • The A1 license does not allow for exceptions, so even if you had a higher allowance before, when the license changes to A1 the quota is 100 GB.

For continued ability to create and edit files, please keep your usage under 100 GB at all times.
