OneDrive: Moving Institutional Files to SharePoint before leaving USNH

Summary

Shortly after leaving USNH, your OneDrive data will be deleted. This article outlines how to ensure USNH Institutionally owned/shared data will not be lost and how to transfer files from OneDrive to Sharepoint. Changing ownership within OneDrive may not work so it is recommended to move the files.

Note: For personal files, see OneDrive: Copying Personal Files/Folders before Leaving the University

Context

When leaving USNH, your M365 applications will no longer be accessible and OneDrive account data will be deleted.  The date when that happens depends on the individuals status:

  • Typically, the files/folders for all departing students are retained for 30 days after the start of the next semester directly after the semester they graduated in.
    • For example, if a student graduates in May: Files/folders are accessible until early October.
    • If a student graduates in December your files/folders are accessible until mid-February.
    • Once that date passes, you will lose access to all M365 applications and OneDrive account data will be deleted.

  • Faculty access is removed anywhere between 30 and 270 days after the end of the last appointment, and depending upon institutional needs as guided by their respective collective bargaining agreements. Contact HR for details about a specific person(s).

  • Staff access is usually removed on the job termination date, and depending upon institutional needs as guided by their respective collective bargaining agreements. Contact HR for details about a specific person(s).

How-To

Task: To Move your Files from OneDrive to Sharepoint

Instructions

Step 1 - Select the files or folders that you want to move, and then select Move to.

Step 2 - Under Choose a destination, select the location you want to save to. Sharepoint sites will show under the name of your organization. Please note that you will see different locations depending on where you are. For example, if you are viewing it on a Sharepoint site, you will see your current library, OneDrive, and other sites. If the site you are looking for does not show select Browse sites.

Step 3 - Once the desired location has been selected, press Move here.

Note: If you do not see the Move to command you may be using OneDrive classic (older version of OneDrive UI) which is no longer supported.

Outcome

Your USNH files have been moved to SharePoint.
