Summary
Effective Sunday, September 28, 2025, Adobe licensing options at the University System of New Hampshire (USNH) were updated for students, faculty and staff. These changes were designed to better align resources with usage patterns while continuing to support academic and professional needs. This article provides instructions to Client Services staff about how to manage requests for Adobe products.
As of May 2026, Adobe Sign licensing is now included in the requests that are managed by Client Services staff.
Adobe Licensing at USNH
These are the current Adobe licensing options at the University System of New Hampshire (USNH) for students, faculty and staff. See Adobe Applications: Signing In for instructions on how to sign in.
Classroom Podium Computers & Computer Labs (ET&S-managed):
- Full Adobe Creative Cloud desktop applications are installed on classroom podium computers and on computers in labs/clusters managed by ET&S.
Faculty & Staff:
Students:
- Adobe Express Premium is available to all at https://express.adobe.com
- Creative Cloud desktop software is available to select students based on course enrollment in specific courses. This is handled via a batch load that happens about 1 week prior to the start of the semester. This access is removed by batch after the grade submission deadline at the end of the term.

Who can process these requests?
The access to process these requests is limited to 1 or 2 Client Services team members on each of the campuses (in addition to endpoint engineering). Primarily review of the requests should be done by a member of the campus team where the request originated from. This will ensure that we are processing requests with local campus VIPs, locations, and processes in mind. At the time of this article those individuals are:

Adding Users to Adobe Creative Cloud Licensing Groups in Entra

Note: A sync runs each hour for users added to these groups.
Faculty and Staff
- Faculty and staff needing the full Adobe suite on a 1:1 Device should be added to App-<campus>-Adobe-CreativeCloud-FS
- This group requires yearly renewal.
General Access Group
- App-<campus>-Adobe-CreativeCloud-XN is for users outside the regular role groups (i.e. for Sponsored users, affiliate faculty, employees, volunteers, etc.).
- This group allows authentication in labs and on shared devices but does not provide any license for local devices or personal devices.
- This group requires yearly renewal.
Students Requiring Full Licensing
- Students, Graduate Assistants, Doctoral researchers, etc. who need full licensing and the ability to install Adobe on non-managed (personal) devices should be added to App-<campus>-Adobe-CreativeCloud-Students
- This group requires yearly renewal to maintain access.
Shared Devices
- If a managed computer is shared by multiple users or student workers (for example in the Marketing Department or Admissions office) it may be more appropriate to license the device rather than the individual.
- Please forward the ticket to Endpoint Engineering. Include the device name(s) so we can add it to the Shared Device Licenses.
- DO NOT add the users or student workers to the Entra groups above.
Students Approved via Course Registration
- Students enrolled in approved courses will be added to App-<campus>-Adobe-CreativeCloud-Course
- The approved course list is vetted by the Academic Affairs/Dean/Academic College on each campus.
- Access is limited to the semester they are registered for the course and is batch removed at the end of the semester.
- Client Services staff DO NOT add individual students to this group.

Adding Users to Adobe Sign Licensing Groups in Entra

Faculty and Staff
- Faculty and staff needing access to Adobe Acrobat Sign should be added to App-<campus>-DS-AdobeSign
- Faculty and staff can be provisioned this license upon request and it does not require renewal

Campus-Specific Adobe Entra Groups
To ensure campus-specific login continuity and preserve access to previously synced files, we've now separated the Adobe licensing groups by campus. This change helps avoid the cross-campus sync issues we saw with PSU and KSC users defaulting to USNH.
Important: When adding users moving forward, please make sure to assign them to the correct campus-correlated group. We've already populated these new groups with users who were previously added to the original org-wide groups, so no action is needed for existing members.

*Exceptions to the Approval process
The Process in AMS prohibits users from placing their own request for the full Creative Cloud Desktop software. The approval process is not meant to place undue effort on Senior Leadership. We are going to trust that the requestor has the authority to place the request on behalf of their supervisees. A cursory review of the user’s supervisor/department in IIQ should be done, but it is completely logical that an admin assistant (not the direct supervisor) may submit a request for a user or graduate assistant on behalf of the Dean or Researcher who is their supervisor.
Further, there may be some situations where the Campus Team lead may need to make a judgement call based on the "WHO” (it is always about the Who). At some levels of the organization, we may need to be flexible about how the request is received and whether an approval is warranted. When in doubt, refer to your Campus Team lead or the Director.
Any requests received outside the AMS workflow should be escalated to the Group: ET&S - HD Groups Work for processing and communication by select members of the team.
