Publishing a Workbook to Tableau Server

Summary

The instructions included in this article explain how to publish a Workbook to Tableau Server. USNH has two types of clients who use our Tableau Server: those who develop data visualizations and those who interact with data visualizations that developers create. This article is for Developers who have been given publisher access to the Tableau server.

Task: To publish a workbook to Tableau Server

 

Instructions

Using Tableau Desktop Professional follow the steps below to publish to the Tableau Server:

Step 1 - Select Server > Publish Workbook. If you are not yet signed in to Tableau Server, you will get the "Tableau Server Sign In" dialog box.

Step 2 - In the Tableau Server Sign In box, enter the information below, then click Sign In:

Server: https://tableau.unh.edu
User name: Your AD user name
Password: Your AD password


Step 3 - In the Publish Workbook to Tableau Server dialog box, specify the following:

Project: location to publish to. All workbooks are published to projects, Tableau folders for organizing like content and giving it uniform permissions.
Name: Enter a name or pick from the drop-down list to overwrite an existing workbook
Description: Describe the workbook. A helpful practice is to also briefly describe the workbook’s data source(s), e.g., uses R30 data.
Add Tags: Tag the workbook with descriptive keywords to help users find related workbooks. Tags can be single words or phrases and must be entered one at a time by selecting add. Required tags: a short description of the viz, your department name or acronym, your audience, your data source (examples: Banner Student, local Excel file, Webi Report #1234, Salesforce etc..)


Permissions: By default, a workbook gets the permissions of the project where it is published. This gives the project’s users access to its workbooks. Accepting project permissions, i.e., hitting "Publish", is often the easiest way to secure your workbook. Plus, using project security simplifies long-term permissions management as your visual library grows. Occasionally, project permissions need to be overridden. An example is if a publisher needs feedback on a prototype workbook from a limited set of users. In this case, they would publish to a "Sandbox" project and manually apply custom permissions.
(Permissions are complicated. Before customizing, you must thoroughly understand how Tableau permissions work to help prevent accidental exposure of sensitive content.)
Data Sources: select edit if you want to change the method shown for how people to access the underlying data your workbook connects to, or for how to publish the data (embedded in workbook or published separately).
Show or hide sheets when you publish: By default, Tableau Desktop publishes all sheets in a multiple-sheet workbook. In the Sheets section of the Publish Workbook dialog box, you can specify which sheets to include. Hiding sheets is useful when you want to publish a dashboard or story without showing the worksheets that were used to create it.
Show selections: You can select this if you want a particular portion of the view or filters to be selected when Interactors open the workbook. Make your selections in Tableau Desktop before you start the publishing process.
Include external files: If your views contain any information that isn’t available to the server, or to other users who access the workbook on the server, the Publish Workbook dialog box will include a setting you can select to include that information when you publish. For example, you might use an Excel, CSV, or other data source local to your computer; image files; and so on. If you are publishing to Tableau Server, and the workbook references data sources or images on a mapped drive, you can include external files when you publish, or you can change the connection information so that the workbook references the UNC path to the data source.

Step 4 - Click Publish.

 

Outcome

Users should be able to publish a Workbook to the Tableau Server.
