Outlook: Accessing a Shared Calendar in Outlook Desktop App

Summary 

This article explains how to access a calendar that has been shared with you in Outlook (New) for Windows and Mac and Outlook Classic for Windows.

 

How-To

Task: To open another calendar in Outlook for Windows and Mac

Instructions

Step 1 - Open Outlook.

Step 2 - Select Calendar from the left navigation menu.

Step 3 - Select Add calendar.

Step 4 - Select Add from directory.

Step 5 - Enter the name or email address of the person whose calendar you want to view.

Step 6 - Select the person's name from the search results.

Step 7 - Choose where to add the calendar from the Add to drop-down or leave it at the default.

Step 8 - Select Save.

Outcome

The calendar appears in the navigation pane.

 

Task: Access a calendar shared by email invitation in Outlook for Windows or Mac, or in Outlook (Classic) for Windows

Note: When another person shared a calendar with you, you may receive a sharing invitation.

Instructions

Step 1 - Open Outlook.

Step 2 - Open the sharing invitation email.

Step 3 - Select Accept.

Step 4 - The shared calendar is automatically added to your calendar list.

Step 5 - Select Calendar to view the shared calendar.

Outcome

The calendar appears in the navigation pane.

 

How-To

Task: To open another calendar in Outlook (Classic) for Windows

Instructions

Step 1 - Open Outlook.

Step 2 - Select Calendar from the left navigation menu.

Step 3 - On the Home tab, select Add Calendar > From Address Book.

Step 4 - Search for and select the person whose calendar you want to open.

Step 5 - Select OK.

Outcome

The shared calendar appears under Shared Calendars in the navigation pane.
