EAB Navigate360: Email Rules for Appointments

Purpose: When Appointments are scheduled, updated, cancelled or when reminders are sent, there is a set of rules the application follows to notify those involved.

Intended Audience:  Any user of the application who would create or modify an appointment.
Environment:  EAB Navigate

Scope of Article: EAB has implemented a set of rules as of release 21.2.13 that pertains to emails triggered in the system when appointments are created or modified. This article will outline the triggers and whom the emails will be sent from.

Email Rules for Appointments

We have updated who emails come from when appointments are scheduled, attendees are added, or appointments are canceled. The information below explains the different scenarios and what happens.

When a Student Schedules the Appointment

An email is sent to the organizer. It is sent from the student to the organizer. 

  • A conversation record appears in the organizer's Conversations as a received message
  • No conversation record appears in the student's conversations

An email is sent to the student. It is sent from the organizer to the student.

  • A conversation record appears in the organizer's Conversations as a sent message.
  • A conversation record appears in the student's Conversations as a received message.

When an Organizer Schedules an Appointment

An email is sent to the organizer. It is sent from NO-REPLY to the organizer.

  • A conversation record appears in the organizer's conversations as a received message.
  • The student name in the email body is a mailto link

An email is sent to the student. It is sent from the organizer to the student

  • A conversation record appears in the organizer's conversations as a sent message
  • A conversation record appears in the student's conversations as a received message

When a Third Party Schedules an Appointment

An email is sent to the organizer. It is sent from NO-REPLY to the organizer.

  • A conversation record appears in the organizer's conversations as a received message.
  • The student name in the email body is a mailto link

An email is sent to the student. It is sent from the organizer to the student.

  • A conversation record appears in the organizer's conversations as a sent message
  • A conversation record appears in the student's conversations as a received message

When a Student Receives an Appointment Reminder

An email is sent to the student from the organizer to the student.

  • A conversation record appears in the organizer's conversations as a sent message
  • A conversation record appears in the student's conversations as a sent message

When an Organizer Receives an Appointment Reminder

An email is sent to the organizer from NO-REPLY.

  • A conversation record appears in the organizer's conversations as a received message.
  • The student name in the email body is a mailto link

When a Third Party Adds an Attendee via Staff Scheduler for a Group Appointment

An email is sent to the organizer from NO-REPLY.

  • A conversation record appears in the organizer's conversations as a received message.
  • The student name in the email body is a mailto link

An email is sent to the student. It is sent from the organizer to the student.

  • A conversation record appears in the organizer's conversations as a sent message
  • A conversation record appears in the student's conversations as a received message

When a Student Adds Themself to a Group Appointment

An email is sent to the organizer. It is sent from the student to the organizer. 

  • A conversation record appears in the organizer's Conversations as a received message
  • No conversation record appears in the student's conversations

An email is sent to the student. It is sent from the organizer to the student.

  • A conversation record appears in the organizer's Conversations as a sent message.
  • A conversation record appears in the student's Conversations as a received message.

When a Third Party Cancels a Student Attendance/Appointment

  • An email is sent to the student whose attendance is being canceled from the person who canceled the appointment. An email is sent to the organizer from the person who canceled the appointment.

When a Student Cancels Their Own Attendance

  • An email is sent to the student from the student. An email is sent to the organizer from the student.

When an Organizer Cancels a Student's Attendance

  • An email is sent to the student from the organizer. An email is sent to the organizer from the organizer.
