Summary
This article provides information on searching for identity records using the Help Desk Interface in Sailpoint Identity IQ (IIQ). This article is meant to assist ET&S Help Desk staff and student workers through the search process. As of June 2023, Help Desk workers use IIQ for identity verification.
Note: Access to the Help Desk IIQ requires being on the Enterprise VPN (Pulse Secure or Global Protect). It also requires being a member of one of the Help Desk AD groups. If you believe you should have access to Help Desk IIQ and are having trouble, please work with your Help Desk Team Lead.

Tips for Searching
Searches are not case sensitive.
Do not use wildcards when searching. Instead, use the field option dots below the name fields to choose whether the result "Starts with", "Equals", or "Contains" the search string you type.
Search results are capped at 300 identities returned, even if there were more matches. If that happens, try to adjust your search parameters until you retrieve fewer than 300 records. See suggestions below for how to narrow your search results.
If you enter more than one search parameter, the system will only find results that contain ALL the criteria you asked for. If you are not finding enough results, try putting fewer criteria. When searching in this way, LESS is MORE. You can narrow your search results afterwards to find the specific identity you are looking for.
This Search for an identity section keeps the most recent search parameters filled in until you click the “Clear Search” button near the bottom or until you manually overwrite them with new search parameters.
- If you want to start a new search, you can click the "Clear Search" button near the bottom to clear out all the search values and parameters you had used in your prior search. This is handy if you were doing a complex search and want to start over for a new search. Alternatively, you can overwrite or clear your previous search criteria manually. Whatever is easier for you at the time.
- For example, if you are searching by only username, you can just type a new username in place of the prior one and press enter or click "Search" to do the next search. But if you were searching by name or multiple fields, you must clear the prior search before beginning the next one.
- Even if you search by SSN, that search will remain visible in the "Search for an identity" section. Be sure to "Clear Search" after an SSN search.
Note: The Save Search function is not currently enabled.

Tips for Narrowing Search Results

Filter Search Results
You can FILTER by any of the fields displayed in the Search results by typing into the box below a column header. This can be useful to filter by Personal Email Address, Birthdate, USNH Roles, Data Sources, or different Display or Legal names.
For example, we cannot search by Personal Email Address, but it is displayed in the search results (if present in our data). We can filter by Personal Email Address:
Step 1 - Search for the person by name, even if you get a large result set
Step 2 - Type their personal email address (or part of it) into the box just below the "Personal Email Address" header. As you type, the results will filter to only ones that match the string you have typed.
If you want to see all the identities that have a value (are not blank), type something in the filter box that appears in all values. For example:
- Under USNH Roles if you type a dash [ - ] you’ll see all the identities that have any active role.
- Under Personal Email Address if you type the “at” symbol [ @ ] you’ll see all identities that have any personal email address.
- Under Birthdate if you type a colon [ : ] you’ll see all identities that have a birthdate in any data source.
Filtering can also be very helpful if you have only partial information. For example:
- If you know the person’s name but didn’t fully understand their username, you could search by name then filter under Login for the part of the username you think you heard. You might be able to find them by looking at that shorter list.
- If you know a person has a certain role, you can filter for that under USNH Roles.
- If you know they used to be a student at a particular campus, you can filter for that campus under Sources.
- If you know someone used to be an employee, you can filter for “HR” under Sources.
Sort Search Results
You can also SORT by any of the fields displayed in the Search results by clicking on the column header. Clicking the header again will reverse the sort order. This is just a string sort, so it may not sort "Birthdate" in exactly the order you expect - filtering may be better in that case. But sorting the search results could also be useful in some situations.

Tips for Navigating between Identities and Searches
The “Recently viewed identities” drop down button is always visible near the right end of the “Search for an identity” section header bar. This drop-down list displays the last 15 identities you viewed, most recent at the top. These are remembered across IIQ sessions. Click on any item in the list to view that identity (which also moves it to the top of the list). Click on the “button” again to close the list if you do not want to select an identity to view.
You can expand and collapse the "Search for an identity" or "Search results" section by clicking on its header bar. These sections toggle between open and closed each time you click on the bar. The Search for an identity section will still have your search parameters from your last search unless you have cleared them.
To return to the "Search for an identity" and "Search results" gray header bars when you are finished viewing an identity, click “Close” in the upper right corner of the identity record and you'll have the bars at the top again. Or if you scroll all the way down the page while viewing an identity, the "Search for an identity" and "Search results" gray search bars appear below an individual's identity.
Remember: The Search for an identity section will still have your search parameters from your last search. You will need to Clear Search or type over the search term(s) from your prior search.
You can Pin multiple identities to easily switch between them by clicking “Pin” in the upper right corner of the identity record.
- Any identities you pin will appear on the right in their own “Pinned Identities” section. You can select any of them to instantly load that identity.
- The Pinned Identities section remains on the right even when you search for another identity.
- Click the tiny “x” on the right of a pinned identity to remove it from the pinned list.
- If you remove the last identity from the list, then that panel closes.
- The Pinned Identities section remains tied to your session even after closing the browser, available until you close the last identity.
You may choose to open IIQ in multiple browser tabs or windows. That seems to work fine and is a way to compare different identities side by side.
