Summary

This article answers common questions about Sponsored Users - how to request, renew or extend, and terminate sponsored access for people with legitimate need for account access but no other active qualifying affiliation with USNH. This process is for sponsored approval at KSC, UNH, and USNH Systems Office.  For instructions for PSU, see our article on PSU: Sponsored User Accounts .

 

Definition of Roles

  • Designated Sponsored Representative (DSR) (also known as the Approver): Administrators in departments who approve requests for Sponsored users for their department/line of business.   
  • Sponsor (also known as the Requestor): An employee who is primarily responsible for the relationship between USNH and the Sponsored User.     
  • Sponsored User: A non-employee with a legitimate business need for access to USNH resources who has been granted sponsorship.

Answers

A1 - What is a Sponsored User?

  • Sponsored Users are individuals who are not regular students, faculty, or staff but require temporary access to the University of System of New Hampshire resources. Examples include:
    • Contractors, Consultants and Vendors
    • Affiliate Faculty / Visiting Scholars
    • Volunteers

A2 - How Do I Sponsor Someone?

  • Visit the Accounts Management System  and log in
  • Go to Request / Renew Sponsored User
  • Click Individual Sponsored User or Group (Bulk) Sponsored Users
  • Complete the form and click Submit Request
  • The request will automatically be routed to the designated sponsor representative for approval. The Sponsored user will receive an email notification when the sponsorship is approved and a base account is ready.
  • NOTE: By requesting sponsorship, you become the Sponsor (see responsibilities below).

A3 - Who can approve Sponsorships?

  • Designated Sponsored Representatives (DSRs) (also known as the Approvers) are Administrators in departments who approve requests for Sponsored Users for their department/line of business.

A4 - What access is granted to the Sponsored User once the sponsorship is approved?

  • Sponsored Users are provisioned an AD/Azure account and assigned a MS license which gives them on-line access to email, OneDrive and MS Office apps.  
  • If additional access or IT resources are required, access requests will follow the standard request and approval processes used to manage employee access.

A5 - How do I request additional access for a Sponsored User?

  • If additional access is required after basic Sponsored User access has been approved and granted, requests must submitted in the AMS, by following these steps:
  1. Visit the Accounts Management System  and log in
  2. Select Add/Edit Access for Existing User
  3. Select someone else when prompted to select who the request is for. 
  4. Use the User Lookup to select your Sponsored User. If you do not know their username or USNH ID, fill in the sponsored user's information manually.
  5. Select the additional account(s) to be added and click Next
  6. Fill out account form(s)
  7. Verify your submission and click Submit Request

 

A6 - What are the responsibilities of a Sponsor?

  • Request sponsorship only for those individuals with a legitimate business need for access to USNH services.   
  • Following the principle of least privilege, request the minimum amount of access for the minimum amount of time needed for the Sponsored user’s support of USNH’s mission. 
  • Responsible for the Sponsored User’s use of university services in accordance with all policies and standards. 
  • Supply required identifying information for the Sponsored User, as well as information about any prior relationships with USNH. 
  • Responsible for managing the Sponsored User’s access including requesting modifications to access as responsibilities change and removal of access when no longer needed. 
  • Request termination of the sponsorship immediately if the Sponsored User no longer requires previously requested services for the support of USNH’s mission.

A7 - What if I have a group of individuals requiring Sponsorship?

  • Use the Group Sponsorship Form  to request sponsorships for a group of individuals with similar account needs, duration, and purpose at USNH.
  • Depending on group size, group sponsorship processing can take up to 5 business days.

A8 - What is the duration of the sponsorship?

  • Sponsorship must only be requested for the minimum amount of time needed for the Sponsored User to support USNH. The maximum allowed duration of a sponsorship is one year. If more time is required, the sponsorship will need to be renewed.

A9 - How do I renew a Sponsorship?

  • An attempt will be made to notify Sponsors when a Sponsorship is nearing the expiration date. If no action is taken upon receipt of the notification, the sponsorship will expire and access will be terminated on the expiration date.
     
  • To renew a Sponsorship prior to the end date if you are the original sponsor:
    1. Browse to the Accounts Management System  and log in
    2. Go to My Accounts / Requests
    3. Click View My Approved Sponsorship Requests in the left navigation bar
    4. Locate the user’s name and select either Renew to extend the sponsorship or Revoke to terminate the sponsorship prior to the expiration date
    5. Complete the onscreen instructions and submit the form
  • The request will automatically be routed to the appropriate DSR for approval.
     
  • To renew a Sponsored User prior to end date if you are NOT the original requester:
    1. Visit the Accounts Management System  and log in
    2. Go to Request / Renew Sponsored User
    3. Click Individual Sponsored User
    4. Fill out form and Submit Request
  • The request will automatically be routed to the appropriate DSR for approval.

A10 - How do I request termination of a Sponsorship?

  • Sponsorship will automatically terminate after the expiration date. To request that a Sponsorship be terminated before the expiration date:
    1. Visit the Accounts Management System  and log in
    2. Click Remove Access for Existing User
    3. Fill out user information
    4. In the Type field, select Revoke Sponsorship Status and IT Access
    5. Complete the form, verify the information, and click Submit Request
