As we approach the end of the USNH Enterprise Zoom licensing arrangement, we want to clarify the process for obtaining Zoom licenses moving forward. This article is for departments who may require Zoom licenses after the enterprise agreement ends on June 30, 2025.
Beginning in Fiscal Year 2026, centralized funding for individual Zoom licenses will no longer be provided. Departments and units will be responsible for purchasing their own licenses using web pricing and only with CFO approval. These licenses will be owned and supported entirely by your department. ET&S will NOT have administrative rights to see your Zoom accounts and resources or to provide support.
Most USNH Zoom users will have their USNH Zoom account transitioned to a “Basic” license on July 1, 2025. Users can continue to participate in Zoom meetings but will have limited features when hosting. See Zoom Transition: Differences in Zoom Basic & Pro Licensing
Note: If you have important events or meetings that have been shared publicly and are scheduled between July 1 and August 25 please submit a request and ET&S will review your license for a limited extension.

Instructions
Step 1 - Determine the type of Zoom license you need and anticipated cost
Step 2 - Contact your Campus CFO for purchase approval as an exception to the Zoom-to-Microsoft Teams migration.

To purchase a Zoom license, PCard payment will be the only payment option. As this will be a direct cost to the campuses, a Temporary PCard Change Request must be submitted and include Campus CFO signature. Below are the contacts to sign for each campus:
Remember any approved exceptions must be attached to the related receipt upon PCard transaction reconciliation in the Workday Expense Module.

Step 3 - Make the purchase directly on the Zoom website using a USNH P-Card.
- Note: If your Zoom order is over $5000, you create a Purchase Order in UShop and work directly with a Zoom account manager. If this applies to you, use the 'Contact Sales' button on Zoom's website to be connected with a Zoom representative.
Step 4 - Use these instructions on setting up your new account as part of the purchase - Zoom Transition: Create or Maintain Basic Zoom After July 1st Transition
- If purchasing multiple licenses the purchaser may assign the licenses to other email addresses at the time of purchase and may change those licensed email addresses in the future.
Step 5 - When you submit your P-Card expense, provide the CFO Exception Approval documentation.
Outcome
You have purchased a Zoom license, beyond the basic level provided through USNH, to meet your department's needs. You understand that your department owns and manages this license with assistance from Zoom Support at https://support.zoom.com
