Use of Microsoft Teams and other M365 services provided by USNH is governed by the same policies as other university resources.
Team Naming: Please use our institutional naming format when creating a new Team — for example, UNH-HR-CommitteeName. This helps make Teams easier to find and improves reporting accuracy. See below for more details.
Lifecycle Management: Let’s keep our Teams environment tidy! If you notice a Team that’s no longer active or needed, consider archiving or deleting it. Regular clean-up helps reduce clutter and keeps things running smoothly. See M365: Cleanup Tips for OneDrive, SharePoint and Teams

External Sharing: Team owners — please review any external guest access in your Teams. Make sure it aligns with our organization’s sharing policies and remove access if it’s no longer needed.
Microsoft Teams General Guidelines
To ensure a secure, organized, and effective Teams environment, please keep the following in mind:

Team Ownership: Every Team should have at least two designated owners. Owners are responsible for managing membership and ensuring the Team remains active and relevant.

Inactive Teams: Teams without active owners may be subject to removal by USNH Teams Administrators. Similarly, Teams that are no longer in use or serve only as archival references may be deleted.

Monitoring and Compliance: USNH Teams Administrators may monitor the use and content of Microsoft Teams. Any content found to be inappropriate or in violation of USNH policies may be removed.

Guest Access Reviews: Team owners should schedule periodic reviews of guest access permissions and shared links to ensure compliance with organizational policies.

Policy Updates: These guidelines may be updated by USNH Teams Administrators as needed to reflect changes in policy or best practices.
Microsoft Team Naming Conventions
To support clarity, consistency, and discoverability across USNH Microsoft-based directories, please follow these naming guidelines when creating a new Team:

Include Your Campus: The name of your college or campus should be part of the Team name to help distinguish it from similarly named groups across the system.

Be Clear and Concise: Choose a name that accurately reflects the purpose of the Team while keeping it as brief as possible.
- Teams with "test" in the name may be renamed to align with naming standards.
- Teams named after individuals may be reviewed and renamed to reflect their purpose more clearly.

Use Respectful Language: Team names must not contain offensive or inappropriate language.

Default to Private: All Teams should be set to private unless explicit approval for a public Team is granted by Enterprise Technology & Services (ET&S).
