Namecoach Integration for Outlook Web and Desktop

Namecoach Recording Recommendations

Namecoach is also available within Canvas. Namecoach in Canvas syncs with Outlook, we recommend using Namecoach in Canvas as a primary way for recording your name. If this is not available to you, or if you need an alternative, follow the instructions below for using Namecoach in Outlook. Note - the Outlook integration does not sync with Canvas (i.e. if you record in Outlook, it will not also appear in Canvas). Namecoach is primarily meant for people within the institution, you will see No Result Found for external email recipients. 

Outlook Desktop Windows Integration 

  • To begin here, open an email and make sure there are other USNH individuals (staff, faculty, or students) included on that email.
  • Click on Get Pronunciations in your top ribbon (you can then follow the video instructions for Outlook Desktop Apple Integration if you would like from here). 
  • Click on the pin icon at the top if you would like to keep Namecoach open from email to email 
Listen to Others Names
  • Click on pronunciations to see how others names in the email are pronounced. 
  • Click on the play icon to hear names 
My Recording
  • Click on My Recording microphone icon
  • Allow your microphone access to Namecoach 
  • Record your name and follow the next steps

Outlook Desktop Apple Integration 

This video is an overview of the Outlook desktop Apple integration, you'll also find step-by-step instructions below

  • To begin, open an email and make sure there are other USNH individuals (staff, faculty, or students) included on that email. Look to the top ribbon in your email and find Namecoach
  • Click on the pin icon at the top if you would like to keep Namecoach open from email to email
  •  ​​​​​​​Click on pronunciations to see how others names in the email are pronounced.

Outlook Web Integration 

When using Namecoach Outlook web integration, first click on the … (more) icon across from the name of a sender or recipients of an email message. You'll find this icon located in your Inbox, Sent, or any other Outlook folder with email messages that have been sent or received that you may utilize. When you click on Namecoach from an email, you will just see information for users included in the to, from, or cc fields.

Click on Namecoach if you would like to either see if someone else's name is recorded or check on your own. 

When you enter Namecoach for Outlook for the first time, you’ll receive a welcome note. The welcome note includes the End User License Agreement, which is linked. Click Get Started! to begin.

Playback for Someone Who Has Already Recorded their Name

From here you'll see pronunciations and then a drop-down list of names of people within your email, click on a name. If the user has recorded their name, it will first autoplay. You'll see a key and a speaker icon. You'll also see a pop-up display with the title Play owner recording. Click on the icon of the key and speaker to play back their name.

Playback for Someone Who Has Not Yet Recorded their Name

If you are in contact with who hasn't recorded their name yet in Namecoach for Outlook, the system will give a presumed playback of their name. Click on the speaker icon with the block to listen to each part of the name. The microphone icon allows another user to make a suggested recording of your name. Under the 1-EN that is for additional language pronunciation options, you may find only one option under this menu, click on any below to see your pronunciation options.

Record Your Own Version of Someone Else's Name - i.e. a Peer Recording 

If you could like to make a recorded version of someone else's name who has not yet recorded their name, click on the microphone icon. You will then see this recording alert. Click Start to begin recording or Cancel to cancel recording.

You may be prompted at this point to allow Outlook to access your microphone on your computer. You will then be prompted to record. Furthermore, you have 10 seconds to record. 

Once you've recorded, you'll see anything you've recorded identified as My Recordings. You can click on the pencil and paper icon next to the name recording to delete or re-record any recordings you've made. Note: If you're recording someone else's name, and they haven't recorded yet - you would see their name displayed and recorded as first name, then last name - two separate recordings. Note this option is not available if there is an owner recording. Secondary note, if you make a Peer recording, it will be available to others alongside the automated recording made noted above.

Bookmark a Recording

If you would like to bookmark a specific recording, simply click on the bookmark icon next to your preferred recording, and that particular recording will be saved when you reopen Namecoach. Note this option is not available if there is an owner recording.  

Record or Upload Your Own Recording 

If you would like to record your own name, utilize the My Recording area. Click on the pencil and paper icon to edit your own recording.

From there you'll see the record and upload options. We recommend using the Record option. Click on Record. You will then see the recording prompt click Start. Note you may have to allow your microphone access to Outlook to begin recording.

After you've clicked Start, you'll have a brief countdown, and then you have 10 seconds to record your name. You can click Stop when you've completed recording, or click Cancel to Cancel.

Click on the speaker icon to get a playback of your most recent recording. You can click Cancel or Re-Record in this area. At the top above Recorder to the right click on the Save icon to save, or you can click X to leave this view and return to the main Namecoach screen.

Outcome

Users will be able to utilize the Namecoach integration with Outlook. 

 

Pin Namecoach 

Click the pin at the upper right-hand side of Namecoach to pin it in Outlook.
