Outlook: Requesting Changes for Your Campus Directory Information

Summary

This article provides instructions on how to make a request to have changes made to your campus directory information.  This information appears in the Outlook Global Address List (GAL), Teams, Canvas, and other locations throughout USNH.  This article applies to employees of any of the USNH campuses.

The way an employee's Name, Gender Identity, Personal Pronouns, and Job Title display in the Campus Directory and other centrally managed systems and services is dependent upon the information that is on file in the USNH HR system.  Once the information is updated in the USNH HR system the new data will synchronize and appear updated in affected systems and services.

 

How-To

Task: To change your displayed employee professional or chosen/preferred name, gender, personal pronouns, job title, or supervisor.

 

Instructions

  • To change your displayed employee professional or chosen/preferred name, gender, or personal pronouns, refer to the instructions in the Employee Professional Name, Gender Identity, Personal Pronoun Instructions article. These changes are processed in the USNH Human Resources system.  Employees request these changes for themselves through the WISE system 
    • Be sure to check all three names in WISE - the professional name, chosen/preferred name, and legal name
    • If a professional name is provided, that will be the primary name used in technology applications; otherwise, the chosen/preferred name will be used (unless the legal name is required). 
    • Professional name and chosen/preferred name are optional and must be edited or removed by the employee through WISE.  Legal name can only be changed by contacting HR directly.
  • To change your displayed job title:
  • Status Faculty make the request using the General HR Support form.
  • Status Staff must ask their supervisor to submit a job title change request using the PeopleAdmin application 
  • Adjunct Faculty or Adjunct Staff make the request using the General HR Support form.
  • To change your displayed supervisor as listed on your M365 contact card, your supervisor must make the request using the Supervisor Update form.

 

Outcome

The information is displayed on your M365 contact card, in the M365 email global address list (GAL), and in other centrally managed applications and services.  Some applications will take one to two days to update with your revised information.  To verify the information, log into the University System of New Hampshire - Web Information System for Employees (WISE) (usnh.edu)
