About your Account
USNH Username
The format for your USNH Username will be as follows - initals/numbers@usnh.edu (e.g. jbd2519@usnh.edu).
Across USNH, we use Single Sign-On (SSO) to unify mostly all sign-ins under a single format.
- You will receive an email to your personal email account to set up your USNH email and account access.
- Click on the link contained within the email and follow the screens. It will provide you with your username and USNH email address.
- It will take you to MyAccount to create a password.
- Passwords need to be at least 14 characters, contain at least one special character, contain at least 5 unique characters, and cannot have any repeating sequences (123, abc, etc.), and cannot contain personal information that HR would have on record.
This username@usnh.edu format will allow you access to almost all services. Anything that is behind a Microsoft sign-in screen will require this format, including signing into Windows 11.
Account Security
Never, ever, ever, ever give out your password! It is a policy violation to let someone log in as you. The ET&S Help Desk will never ask for your password via email. If you see an email asking for this information, it is Phishing and can be reported as such. If any email looks suspicious, always check with us before you take any action.
Outlook Email
Microsoft 365 Outlook is the standard mail program used by everyone across USNH.
- Access Outlook on the Web at: https://outlook.office.com
- You will have an inbox limit of 100GB.
- Outlook can only be signed into five devices at one time, including smartphones. If you try to sign into a sixth, you will be prompted to sign out on a device.
- Mail can be sent from the mobile Outlook app, the desktop app, and the Web version.
- Folders and Rules can be created in your inbox to help manage emails based on their contents.
Setting up Outlook in Windows
- Click on the Start Menu in the bottom left.
- Search for "Outlook."
- Launch the application and sign in with username@usnh.edu.
- It will ask to personalize, which can be postponed.
Account Authentication
Across the University System, we use Multi-factor Authentication (MFA) to ensure secure sign-ins. This allows the user to approve sign-ins to applications so that in case of an account being compromised, there is another layer of security.
- MFA is required to sign into all applications behind a Microsoft sign-in.
- It will be set up the first time you sign into an application behind SSO.
- There will be a setting to require MFA once every 60 days per application.
There are many authentication methods, and they can be added via MyAccount . See instructions in MyAccount: Managing Account Verification Methods
Other Accounts
MyUSNH - The faculty/staff/student portal providing access to email, transcripts, billing, class registration, Canvas, announcements, and more.
Workday - Central hub for many resources. Where employees go to check in (if hourly), request time off, view pay stubs, and forms for taxes.

About your Computer
If you are in a full-time position, you will be provided with a laptop for work use. If you are an adjunct employee, you would either use a desktop in an office or a departmentally purchased laptop.
Installed Applications
- Full M365 Suite
- Microsoft Teams
- Chrome and default Browser (either Safari or Edge)
- Adobe Creative Cloud
- Global Protect VPN
- And many others
Any approved application not already installed can be installed via Company Portal on Widows or Self Service on Macs. If there is an application that needs to be installed that is not on there, an approval request will need to be submitted to our cybersecurity team, and it would need to be installed by us with admin credentials.
- Individuals can become local administrators using the Privileged Access Management (PAM) tool.
- The requirements for becoming eligible for PAM are listed in the article linked above.
Connecting your Device
All devices that support browsing will need to be connected to the eduroam network.
- This can be done either via a wired connection or Wi-Fi.
- To connect, the username would be your username@usnh.edu and your password.
- This is the same for laptops, phones, and tablets.
- Android devices might need further configuration, instructions are available here: Connecting to eduroam on an Android Device.
Any non-browsing device needs to be connected to KSC-Open.
- This includes Smart TVs, gaming consoles, etc.
- They also need to be registered first as well as using the wireless MAC address.
Campus guests can also use KSC-Open.
- After connecting, a web page will launch.
- They can either sign in with a social media account, or click "no account."
- They will then be prompted to enter in a personal email address.

Connection, Collaboration, and the Cloud
GlobalProtect VPN
We use GlobalProtect as a Virtual Private Network (VPN) to ensure a secure connection.
- Some applications can only be accessed when connected to the VPN, even on campus.
- When doing any work off-campus, it is highly encouraged to connect to it.
- It will essentially mimic a campus connection and ensure that you are able to access all resources.
- Additionally, it will conceal your home IP address and websites will see that you are on campus.
- Lastly, if you do largely remote work, our devices need to be connected to our network every month or they will experience degraded performance.
- One thing to note is that if your password is changed off campus, the computer’s password will need to be updated.
- If it is a Windows computer, you need to connect to the VPN and then press Windows + L after signing in to lock it. You will then sign in with your new password.
- If it is a Mac, you will need to log out and sign in under the AzureV2 login and then enter your old password to have it sync.

OneDrive
Everyone with a USNH account is given their own personal OneDrive account with 100GB of storage.
- This can be signed into 5 devices at once.
- Often used to store files in the cloud as a backup.
- It can also be used to share files easily with other individuals.
To make sure that OneDrive is running, you can search for the OneDrive application and launch it.
- On Windows PCs, the blue cloud icon will appear in the bottom right.
- On Macs, it will appear in the top right.
- You can click on the cloud to see the status of OneDrive.
OneDrive will automatically back up anything saved to your Desktop and Documents folder, so it is advised to always use these for your work-related documents.

SharePoint
Microsoft also provides a collaboration-focused cloud storage solution, that being SharePoint.
- SharePoint sites can be accessed entirely via USNH SharePoint on the Web .
- Sites can be reached via the pane on the left, and can also be searched for.
- When accessing a site, make sure to click the star in the top right to follow it.
- Access to sites needs to be granted by their owner, typically a department admin or head.
Documents stored in SharePoint are available both through the Web and on your computer.
- To make them available on the device, you will need to navigate to Documents on the Web.
- Then, you can click the “Sync” button.
- This can sync specific folders or the entire documents section, whatever you prefer.
- Then, on the computer the folder will be accessible through File Explorer or Finder.
- If you are invited to a SharePoint site, you will get an email notification with a link to join.

Other Technology
Printing
Printing is available to everyone across campus, and departments foot the bill for toner and paper.
- Across campus, we largely use 2 universal print queues.
- These will be added to your device automatically.
- They can be added to a personal device using the following steps: Adding print queues
- The steps on how to use the printers are very simple.
- Submit a document to one of the queues.
- Go to a printer and tap your Owl Card.
- If it is the first time, you will enter your username and password to associate.
- After it signs you in, click on Release and release the print jobs.
- Print jobs sent to the queues can be released to any faculty/staff printer on campus.
These MFPs also have the ability to fax and scan documents directly to OneDrive or email.
Telephone System
If you have a phone in your office, you will be assigned a phone number.
- These numbers typically stay the same even when you change positions or offices.
- You will get an email with instructions on how to set up your voicemail.
- You will get a temporary PIN number and a number to call.
- After calling, you enter the PIN and create a new one, you can access your voicemail.
- Additionally, all voicemails get converted to audio files and sent directly to your email.
- Many people just check their voicemails this way.
- For the most part, you will only ever need to access your voicemail box via the PIN to delete messages.
Another important note is that from your phone, you can dial extensions for USNH numbers.
- All you need to know is the campus and the last 4 digits of their phone number.
- Keene: 8-XXXX
- Plymouth: 5-XXXX
- UNH: 2-XXXX
Additionally, there is a phone directory that allows you to speak a name into it and be connected to that person’s office phone. That can be reached at (603) 358-8000, or just 8-8000 from your office phone.
To dial an outside line, you must press 61 before entering the full 10-digit phone number.
The Faculty/Staff directory shows the phone numbers associated with individuals, and it is updated once a semester. The information there feeds directly from what HR has on file.
Requesting Equipment
We also facilitate equipment loaners for all kinds of purposes.
- Most conference rooms already contain some kind of AV equipment.
- If you want a camera, projector, or any other equipment, reservations are managed through Web Checkout.
- Note that equipment needs to be reserved 48 hours before it is scheduled for pickup.
- It will require you to log in and select Elliot 243 as a location when clicking Reserve.

Communications and Outreach
GAL
Only designated personnel can send an email to the entire campus. Broadcast email is reserved for subjects such as:
- Communications from the Keene State President and University System of New Hampshire Board of Trustees.
- Crisis/urgent announcements: natural disaster alerts, mechanical failures, weather closures or delays, crime alerts, health alerts, server maintenance, and computer virus alerts.
- Major policy and procedural changes that must be communicated quickly.
- Major news events such as naming of a new Keene State College president or vice president.
- Financial and administrative deadlines, e.g., budget, personnel or purchasing deadlines.
- Registration information and academic deadlines.
- Logistic announcements: construction closures; traffic routing; environmental alert notices; and security announcements.
Events for faculty/staff
Notification about events happening on campus are sent to the _Events distribution list. People are added by default, and you can let us know if you want to be removed from it. Only some individuals have the ability to send to this list.
