Knowledge Base: Building a KB Dashboard

Summary

This article explains how to build your own dashboard for reviewing Knowledge Base (KB) articles in the TeamDynamix Work Management platform using "KB Dashboard (ESM)" reports. These reports are available to everyone in the ESM Ticketing App in TDNext (Work Management).

Setting up your KB Review Dashboard

Task: Build your own dashboard for reviewing KB articles

Instructions

Step 1 - In TDx Work Management  , click the " Home" tab at the upper left to view your platform level dashboards.

Step 2 - Click "New Dashboard" in the upper right.

Step 3 - Give the dashboard a Name (e.g. "KB Article Review" or "KB Dashboard"). Optionally add a Description to provide more information about the dashboard.

Step 4 - Click Save to create the dashboard. It will be blank and you will land on the Edit dashboard screen.

Step 5 - Click "Add Widget" and search for one of the KB Dashboard (ESM) reports by name. The available reports are:

  • Approved Articles with Pending Draft
  • KB Feedback (past 2 months)
  • New Public KB Articles (past 3 months)
  • Popular Public Articles (Read By >300 Individuals)
  • Public Articles Due for Review Last Month
  • Public Articles Due for Review This Month
  • Public Articles Missing Review Date
  • Public Articles Modified (past 2 weeks)
  • Public Articles Overdue for Review
  • Public Articles Review Date Chart
  • Submitted Articles - not yet published

Step 6 - Click on the report tile for the report you want to use in that location. 

Step 7 - Continue adding, rearranging, or removing widgets and dashboard rows until you have the dashboard layout you find useful to review the KB Articles you manage. For full instructions, see this TeamDynamix support article on Creating and Managing Dashboards 

Example - This is one possible layout for a dashboard named "KB Dashboard (ESM)":

Step 8 - Click Save in the upper right.

 

Outcome

You have a dashboard with KB related reports arranged how you want. 

  • You can re-arrange the dashboard layout any time by clicking the "Edit Dashboard" link in the upper right.
  • You can refresh the dashboard manually by clicking the "Refresh" link at the top of the dashboard, or you can set the dashboard to refresh automatically every few minutes using the steps in the next task.

Task: Enable auto-refresh for a dashboard

Instructions

Step 1 - Open your dashboard on the " Home" tab in TDx Work Management  .

Step 2 - Click Edit Dashboard in the upper right of the dashboard.

Step 3 - Click on the "gear icon" in the upper right to edit dashboard settings.

Step 4 - Check the box by Auto-Refresh and click Save on the Dashboard Settings window.

Step 5 - Click Save in the upper right to save the dashboard.

 

Outcome

Your dashboard will refresh automatically every few minutes.

Using your KB Review Dashboard

Task: Open your KB Review Dashboard

Instructions

Step 1 - Go to your " Home" tab in TDx Work Management  . Your default Dashboard will display. 

Step 2 - If your KB Review dashboard isn't displaying, click the dashboard name in the upper left to open your list of dashboards and choose your KB Review dashboard from the list.

  • To change your Default Dashboard, click on "Manage Dashboards" in the upper right then click "Set" next to the dashboard you want to Set as Default.

Outcome

You can open your KB Review dashboard.

Task: Filter reports to view only the articles you want to see

Most of the KB Dashboard (ESM) reports include Filters that you can use both on the dashboard and if you choose to run a report in another tab.

If Filters are enabled for a report, you will see "Filters" in the upper right with a number indicating how many filters are available.

Instructions

Step 1 - Click on Filters to see available filters for that report. Filters marked with a red asterisk * are Required

Common filters include (* indicates the default value):

  • [Article] Status is one of:  Not Submitted, Submitted, Approved*, Rejected, Archived
  • Published is: true*, false
  • Public istrue*, false
    • Public articles are visible to anyone without logging into TeamDynamix
    • Non-Public (private) articles require USNH login to find or view the articles
  • Owning Group is one of: _________________________
    • use the magnifier to search for the Owning Group(s) you want, check their check box(es), and click Insert Checked
  • [Specified] Date greater [or lesser] than or equal toa specified date/time
    • choose a different date/time if desired

Step 2 - Adjust any filter values you want to change and click Apply. The report displays only the items matching the new filter settings.

Notes (labelled in image below):

  1. If you click the Refresh icon in the upper right of a filtered report, the results will refresh and the adjusted filters will remain active.
  2. You can click column headers to sort a filtered report and the filter remains active.
  3. If you click the Dashboard Refresh option at the top of the Dashboard, all filters will be reset to their defaults.

Step 3 - To clear the filter values on an individual report, open the Filters list and click on Reset.

  • To clear all filter values on the entire Dashboard, click on the "Refresh" link at the top of the Dashboard (labelled "c" in the image above).

Outcome

You are able to filter reports on your KB Review dashboard.

Task: Run a dashboard report in a separate browser tab

When you run a report in its own browser tab, the filters are clearly visible at the top of the report and you have more control over how many items you see in the results.

Instructions

Step 1 - Click on the black "i" in a circle in the upper right to View Details of the report you want to run.

Step 2 - In the upper right of the Report Details, click on the overlapping paper icon to "Open in new browser tab"

Step 3 - The focus will shift to a new tab showing the Report Details.  Click Run Report.

Step 4 - From this report view, you can use the menu at the top to:

  • Set filter values then click "Run Report" again to apply the filters
  • Adjust the Page Size
  • Print the current page of results
  • Use Actions > Export to Excel to export all the results, regardless of page size
  • etc.

Outcome

You are able to run dashboard reports in a separate browser tab.

Task: Run a dashboard report from the ESM app in TDx Work Management

You can also run these same reports from within the ESM app if you prefer.

Instructions

Step 1 - Open the ESM tab in TDx Work Management  .

Step 2 - Scroll down the left navigation menu to the KB Dashboard (ESM) report folder.

Step 3 - Click on any report to run it with all filters visible. Alternatively click on the KB Dashboard (ESM) folder name to see all the reports in a list.

 

Outcome

You are able to use the KB Dashboard (ESM) reports from the ESM app in TDx Work Management.
