Forms: Exporting Responses and Duplicating your Forms

Summary

This article provides instructions to prepare your existing forms prior to implementing M365 and the procedures to recreate the forms in M365 after implementation. Follow the link to the task you want to achieve:

 

Important Information

If you utilize any Microsoft Form tied to your individual Microsoft 365 account, you need to take action.

Any responses you have received to this form will not be associated with the form in the new environment. If you need historical responses to the Microsoft Forms, you will need to export the responses before Friday, June 5th.

In order to have the Microsoft Form available to you in the new environment, you will need to duplicate the Form before Friday, June 5th and take additional steps in the new environment after the migration has completed to ensure your Microsoft Forms are live.

 

How-To

Task: To export form responses before migrating to M365.

 

Instructions

Step 1 - Log into your Microsoft 365 account, click the app squares, and choose Forms.

 

 

 

 

 

 

 

 

Step 2 - Click on a form.

 

 

 

 

 

 

 

Step 3 - Click Responses tab and click Open in Excel.

 

 

 

 

 

 

Step 4 - Save the Excel spreadsheet with the responses to OneDrive or another location.

 

Outcome

Your form responses are copied to your selected location.

Task: To duplicate your forms before migrating to M365.

 

Instructions

Step 1 - You must create a document that contains the duplicated links to your forms. Start by opening either a Word document or Excel spreadsheet to track the forms you need associate in the new environment.

Step 2 - Log into your Microsoft 365 account, click the app squares, and choose Forms (see above).

Step 3 - Click Form (see above).

Step 4 - Click Share.

 

 

 

 

 

Step 5 - Under Share As a Template, click Get a Link to Duplicate.

 

 

 

 

 

 

 

 

 

 

Step 6 - Click Copy next to the link that has generated.

 

 

 

 

 

 

Step 7 - Paste the link in your document that you created that will store your duplicated links to your forms.

Note: Repeat the procedure above for each of your forms.

 

Outcome

You have created a document containing links to each of your forms.

Task: To associate your forms after migrating to M365.

 

Instructions

Step 1 - Open the document that contains the links to your links to your duplicated forms.

Step 2 - Log into the Microsoft 365 account that will "own" the Microsoft Form, click the app squares, and choose Forms (see above).

Step 3 - Click + next to the Microsoft 365/Forms window to open a new browser tab.

 

 

 

 

Step 4 - From your open document containing all of your links to your forms, highlight and copy one of the links to your duplicated forms and paste it into the open browser tab and press Enter to load the form.

Step 5 - Click Duplicate it.

 

 

 

 

 

Step 6 - Click the title to edit it and remove and the text (Copy).

 

 

 

 

 

Outcome

Your forms are associated in M365.
