Office Online: Creating a Work Hub

Summary

This article provides instructions to create a functioning Portal.Office.Com work hub where you can immediately respond to activities that might need your attention and quickly access content that is relevant to you no matter where it is stored. Your work hub provides easy access to all the Office 365 applications and an area where you can create new documents that are automatically saved in your OneDrive making it simple to share and collaborate with others.

I. Accessing and Navigating through your Work Hub

 

Task A: To access Portal.Office.Com.

 

Instructions

Step 1 - Open a browser and enter Portal.Office.Com into the URL address field.

Step 2 - Log in using your USNH credentials.

  • The Home page contains activities and content that are most relevant to you.

Task B: To launch your documents or Office applications.

 

Instructions

Step 1 - Click the Waffle icon on the far left of the Home page.

Step 2 - Click one of your listed documents or office applications to open.

Note: Click the Waffle icon again to close it if it is in the way.

Task C: To search across Apps, Files, People, and Sites available to you using Enterprise Search.

 

Instructions

Step 1 - Select the Search box on the top center of the Home page.

Step 2 - Type in a search term.

II. Accessing the Standard Office menu icons

At the top of the Home page on the far right are four standard Office menu icons . Information and instructions on their purpose is documented below.

The My Day icon provides access to both your Calendar and your To Do list .

 

Task A: To access your Calendar.

 

Instructions

Step 1 - Click the My Day icon

Step 2 - Select the Calendar tab to view your upcoming events.

  • To see more details, click an event.
  • To create a new event, click New event.
  • To change the day you're viewing, select the date at the top of the panel.

Task B: To access your To Do list.

 

Instructions

Step 1 - Click the My Day icon

Step 2 - Select the To-Do tab to view your tasks.

  • To create a new task, click Add a task or drag an email into the task pane.
  • To mark a task as important, select Mark as important.
  • To create a calendar event for a task, drag it from the task pane onto your calendar.
  • To mark a task as complete, select Mark as completed.
  • To view tasks you've marked as completed, click Show recently completed.

Task C: To access your Settings.

 

Instructions

Step 1 - Click the Gear icon

  • To change the appearance of Office.Com, choose a theme thumbnail.
  • To change you language, click Change your language.
  • To change your background color to black, activate the Dark Mode toggle.
  • To change your password, click Change your password.
  • To modify your privacy settings, click Update contact preferences.

Task D: To access Help.

 

Instructions

Step 1 - Click the Help icon .

Step 2 - Select the search box.

Step 3 - Type in a search term.

Step 4 - Press Enter. A list of help options available to you is displayed.

Task E: To access your Account Information.

 

Instructions

Step 1 - Click the Account manager icon .

  • To view/modify your account information, click View account.
  • To view/modify your Office profile, click My Office profile.

III. Accessing the App Bar

 

Task A: To become familiar with the App Bar.

 

Instructions

  • On the left side of the Home page is the App Bar.

  • To return to the Home page, click the Home icon Home page icon..
  • To create new content, click the Create icon Create page icon..
  • To view all your content in a single location, click the My Content icon My Content icon..
  • To launch any of your Office applications, click the appropriate Office Application icon.
  • To launch Office applications not displayed on the App Bar, click the ellipse (...) and click an icon from the menu.

Note: The Recommended actions area located near the top of the Home page contains cards highlighting activities across Microsoft 365 that might need your attention.

IV. Recommended Actions and Quick Access Area

 

Task A: To familiarize yourself with the Recommended actions area.

 

Instructions

  • To reply to an @mention in a document, click Reply.
  • To add a suggested task to your To Do list, click Add to To Do.
  • To join a meeting that is starting, click Joining meeting.
  • To dismiss a recommendation you don’t want to address, click X in the top right corner of the card.

Task B: To familiarize yourself with the Quick access area.

 

The Quick access area, located just below the Recommended actions area, contains documents that are relevant to you.

Instructions

  • To change between list or grid view, click the List or Grid icon .
  • To upload a file and automatically save to your personal OneDrive, click .
  • To switch between Recently Opened, Shared, items you marked as a Favorite, or the default All view, select a pivot.
  • To open a file, click on it.

V. Personalise your View

VI. Quick Action Menu

 

Task: To familiarize yourself with the Quick action menu.

 

Instructions

Step 1 - Right-click a file or click the ellipse (...) next to it to open the Quick action menu.

Step 2 - Select an action from the menu.

  • To choose where you want to open the file, click Open.
  • To add the item to your To Do list or create a calendar event related to the item, click Add to.
  • To share the file by Email, Copy Link, or Teams, click Share.
  • To add to your favorites, click Add to Favorites.
  • To stop displaying the file in the list, click Hide.
  • To have access to the file offline add it to you location computer, click Download.
  • To convert the file to PDF, click Convert to PDF.

Note: The actions available for each file vary by content type and storage location.

VII. Creating a New Document

 

Task: To create a new document, workbook, notebook, form, etc. in Portal.Office.Com.

 

Instructions

Step 1- Select Create.

Step 2 - Choose one of the options to immediately create.

Or

Step 2 - Use the template pivots to find options for calendars, flyers, trackers, and more across all your applications.

New content is automatically saved in your OneDrive.

VIII. My Content Area

 

Task: To view all your content across file types and storage locations in My Content.

 

Instructions

Step 1 - When you open My Content, you see a mix of documents, meeting attachments, etc. Each item displays the file name, last modified date, owner, and any recent activity within the file.

Step 2 - The filters and pivots within My Content narrow your search to only files related to you specifically.

  • Use Filter by keyword to find a file by typing in part of the document name.
  • Select Filter to open a robust set of options, including File Types, Activity, and Time.
  • Choose one of the popular pivots, such as Recently opened, Shared, or Favorites.
  • Browse by People or Meetings.
  • Filter by Locations such as Cloud, Local, or Attachments.
