General Questions and Timeline 

A1 - Why are we transitioning from Zoom to Teams?

The transition to Microsoft Teams was part of an ongoing effort to streamline communication and collaboration across USNH and provide cost-effective solutions to meet all business needs. Teams offers integrated features such as chat, file sharing, and collaboration tools that enhance productivity and connectivity.

A2 -  Can non-USNH/external people join a USNH Teams meeting?

Yes! You can allow external users to attend your meeting. External users can join without having a Microsoft 365 account via their browser. Check out the Microsoft article or our internal article for a how-to guide.

A3 - When will the transition take place?  

The transition began in July 2024 and was completed in July 2025.

A4 - Do I have a basic or pro Zoom license? 

All users now can sign up for a basic license. If your department has opted to purchase and administer Zoom you may have access to a pro-license check in with your department to find out more. To check your account - go to your campus' Zoom site and click Sign InClick on your profile image or placeholder in the upper right. You should get a pop up and here you'll be able verify if you have a pro account (ie Licensed) or a Basic account as it will either state Licensed or Basic

Access and Setup  

A5 - How do I access Microsoft Teams? 

You can access Teams through the desktop app, web browser (on a PC or Mac, not mobile devices) or mobile app. Download the app from the Microsoft website or your device’s app store, and log in using your institutional credentials. A6 - What are the system requirements for Teams?  

Teams is compatible with Windows, macOS, iOS, and Android. Teams Meetings can also be accessed using a browser. Find out More about Teams through our Microsoft Teams area in the Knowledge Base.

Features and Functionality 

A7 - What features does Teams offer that Zoom does not?  

Teams integrates with other Microsoft 365 apps, offering features such as persistent chat, file sharing, and collaboration on documents in real-time. It also provides robust security and compliance features.

A8 - Can I require meeting registration in Teams?

A9 - Does Teams have breakout rooms? 

Yes, breakout rooms are available in any meeting with less than 300 people. You may assign meeting attendees to breakout rooms before or during the meeting.

A10 - Can I record my meetings in Teams? 

Any Teams meeting or call can be recorded for future viewing. The recording captures audio, video, and screen sharing activity, and you can share it securely across your organization. The recording is processed and saved to OneDrive or Sharepoint depending on the type of meeting.

A11 - Can I or others share our screens during a Teams meeting?

Yes. You may choose to present your entire screen, a window, a PowerPoint file, or a whiteboard. By default, any meeting participant is a presenter and can share screens. There are options available to restrict sharing to only certain participants.

A12 - Is there a waiting room option in Teams? 

Yes. In Microsoft Teams it is called the lobby. The meeting lobby keeps participants from joining a meeting until they’re admitted by an organizer, co-organizer, or presenter.

A13 - Does Teams have co-hosts and/or alternative hosts?

Yes. There are four roles in Teams meetings: Organizer, Co-organizer, Presenter, and Attendee

A14 - Does Teams have an option for very large meetings like a Zoom webinar?

A15 - What accessibility features are in Teams?  

Teams has many accessibility features including live machine generated captions, screen reader support, high contrast mode, and meeting transcripts. Microsoft offers the Microsoft Disability Answer Desk for technical assistance. The Disability Answer Desk support team is trained in using many popular assistive technologies and can offer assistance in English, Spanish, French, and American Sign Language.

A16 - Does Teams have an attendance feature? 

Yes, after enabling the feature, you may download the attendance reports after the meeting.

A17 - Can I use Teams in Canvas? 

Yes. There is a Microsoft integration in Canvas.

A18 - How many people can join a Teams meeting? 

You may have up to 1000 people in the same meeting.

A19 - Can I schedule meetings in Teams like I did in Zoom?  

Yes, you can schedule meetings directly in Teams or through Outlook. Teams meetings can be scheduled as one-time or recurring events, and you can invite participants via email.

A20 - Will my current Zoom videos that are in Kaltura be saved? How do I get my content into Kaltura? 

The Kaltura integration with Zoom is no longer available.  Previously, when your Zoom media (up until July 2025) saved to Kaltura, it is considered a separate system, and this content will continue to exist even though Zoom is gone. Teams Meetings stores recordings in OneDrive or SharePoint. Following the steps in our article Kaltura: Importing into My Media from OneDrive or SharePoint - Teams Meetings Recordings you'll be able to import your recordings into Kaltura.

A21 - Will there be training sessions for using Teams?  

Yes, we will offer training sessions or office hours and resources to help you get acquainted with Teams. Check our Training Calendar for upcoming sessions and access our Teams Meetings area of the Knowledge Base for guides and tutorials.  If you want to know Microsoft Teams better there is a great App called Training Assistant you can find under Apps in Microsoft Teams (see below). We'll be adding recorded sessions to our Documentation and Training channel.

Individual departments will be responsible for purchasing Zoom. Please confer with your departmental leadership before putting in a ticket.
