SharePoint: Share a site with your Campus or All of USNH

Summary

This article provides the Microsoft 365 group names for each USNH campus. You can use these groups to share your SharePoint site or Microsoft Team with all users from a specific campus or across multiple campuses. This is the recommended method for granting broad, read-only access without making your site fully public.

A common question about SharePoint is "How do I make my SharePoint site 'public'?" It’s important to clarify:

SharePoint sites cannot be made public-facing on the internet.

USNH SharePoint sites are part of the university’s internal intranet. While it’s possible to share content with specific external collaborators, SharePoint sites cannot be made publicly accessible for anonymous viewing (i.e., they cannot function as a public-facing website). For files and folders, anonymous sharing links can be configured for the site and then posted publicly.

In Microsoft 365, setting a site or Team to “public” does not mean it becomes a public website. Instead, it gives everyone in USNH full editing rights, which is almost never appropriate.

To safely share your SharePoint site or Microsoft Team more broadly - such as with everyone on your campus or specific groups across USNH - you should grant read-only access to the appropriate Microsoft 365 group(s). This ensures people can view the site without being able to modify content.

⚠️ Note: All sites and Teams are set to private by default to protect data and prevent accidental changes. Please follow the instructions below to add the correct audience with appropriate permissions.

Task: To choose an appropriate audience for your SharePoint site.

 

Instructions

Step 1 - Click on the Cog or Gear icon in the upper right corner of your browser window.

Step 2 - Choose Site Permissions.

Step 3 - Select Add members, Share site only.

Step 4 - Start typing the desired group name from the table below. After typing in the group, select the arrow next to Edit underneath the group name. Select Read for visitor-only access. 

Step 5 - IMPORTANT Click SHOW OPTIONS and un-check - Send email.

Step 6 - Click Add.

           Note: You may add multiple groups before clicking add, or choose one at a time. For each group, you need to choose the permission level individually (Step 4).

Note: Everyone includes all USNH campuses, employees, and students. Instead, use one of the targeted groups in the "Everyone" column below.
